1. Introduction
This Privacy Policy explains how Service Ninja Limited ("Service Ninja", "we", "us", "our") collects, uses, discloses and protects personal information in connection with this website and our job management software and related services (together, the "Services"). We are committed to handling personal information in accordance with the Privacy Act 2020 (NZ) and, where applicable to users in Australia, the Privacy Act 1988 (Cth).
By using the Services or providing personal information to us, you acknowledge that you have read and understood this Policy.
2. Information we collect
We collect personal information that you provide to us directly, including when you: submit an enquiry through our contact form (name, business name, phone number, email address and the content of your message); book or attend a product demonstration; sign up for, or express interest in, the Services; or correspond with us by phone, text message or email.
If your business uses the Services, we also process information entered into the platform by you and your team in the course of running your business, such as customer records, job details, quotes, invoices, timesheets and related documents ("Customer Data"). Customer Data belongs to you. We process it solely to provide the Services.
We may collect limited technical information automatically when you visit this website, such as browser type and pages viewed, for the purposes of operating and improving the site.
3. How we use personal information
We use personal information to: respond to enquiries and provide the demonstrations or information you request; provide, operate, maintain and support the Services; administer accounts, billing and customer relationships; improve the Services and this website; communicate service, security and operational notices; and comply with our legal obligations.
We do not sell personal information. We do not use Customer Data to market to your customers.
4. Disclosure
We disclose personal information only: to service providers who host, process or store data on our behalf under appropriate confidentiality and security obligations (for example, cloud hosting and email infrastructure); to our professional advisers where reasonably required; where you have authorised the disclosure; or where disclosure is required or permitted by law.
Some service providers may store information on servers located outside New Zealand. Where this occurs, we take reasonable steps to ensure the information receives protections comparable to those under the Privacy Act 2020.
5. Storage and security
We take the security of personal information seriously. Information is transmitted over encrypted connections (HTTPS/TLS) and stored with reputable cloud providers using industry-standard safeguards, including access controls and encryption at rest.
No method of transmission or storage is completely secure. In the unlikely event of a privacy breach likely to cause serious harm, we will notify affected individuals and the Office of the Privacy Commissioner as required by the Privacy Act 2020.
6. Retention
We retain personal information only for as long as it is required for the purposes set out in this Policy, to provide the Services, or as required by law. Customer Data is retained while your account remains active. On termination of your account you may request an export of your Customer Data, following which it will be deleted from our production systems within a reasonable period, subject to routine backup cycles and legal retention requirements.
7. Your rights
Under the Privacy Act 2020 you have the right to request access to, and correction of, personal information we hold about you. Requests may be made using the contact details below. We will respond within the timeframes required by law and will not charge for reasonable requests.
If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner (privacy.org.nz).
8. Cookies and analytics
This website uses only the cookies and local storage necessary for its operation (for example, remembering your light or dark display preference). If we introduce analytics or marketing cookies in future, this Policy will be updated before they are deployed.
9. Changes to this Policy
We may update this Policy from time to time. The current version will always be available on this page, with the date of the most recent revision shown above. Material changes affecting how we handle Customer Data will be notified to account holders directly.
